Extra questions your receptionist asks

Your receptionist always takes the caller's name, their number and what they need. If your trade needs something more before you can quote or turn up, add a question for it.

Go to Settings, then Leads. They're at the top, under Ask on the call.

Adding a question

  1. Under Ask on the call, tap Add a question.
  2. Under What to ask for, name it the way you'd say it: "vehicle registration", "boiler make and model", "postcode of the property". Your receptionist asks for it in plain words on the call.
  3. Add an optional Note for your receptionist, for example when to ask, or what to do if the caller doesn't know. A note can be up to 400 characters, and a count appears as you get close. If you send enquiries to Street, a question that asks only for the caller's email address, in a common wording, follows Street's wording and its note isn't used: see Street.
  4. Tap Done. Done saves it.

You can add up to three. Tap Edit to change one. To take one out, tap Edit, then Remove: it goes straight away, with Undo on the note that appears if you change your mind.

How your receptionist uses them

Your receptionist works these questions in one at a time while taking the caller's details. It's best effort by design: a question that clearly doesn't fit the call is skipped, and a missing answer never stops the lead being taken. If a caller only knows part of an answer, say the first half of a postcode, your receptionist takes that part and moves on rather than asking again. Once a caller has answered a question, your receptionist won't ask it again, whether the question was asked or the caller volunteered the answer first.

Where the answers go

Answers appear on the lead in your Inbox and on the call in your history, under Details, so a "boiler make and model" is there before you pick up the phone.
